Terms of Service

1. Acceptance of Terms

These Terms of Service ("Terms") govern your access to and use of DreamForge Vets, operated by Blueridge Webservices LLC ("Company," "we," "us," or "our"), including the website at vets.dreamforgeworld.com, the clinic management platform, the pet owner portal, and all related services (collectively, the "Service").

By creating an account or using the Service, you agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, do not use the Service.

If you are using the Service on behalf of a veterinary clinic or other organization, you represent that you have the authority to bind that organization to these Terms.

2. Description of Service

DreamForge Vets is a software-as-a-service (SaaS) platform designed for veterinary clinic management. The Service includes:

  • Clinic management tools: Appointment scheduling, patient records, treatment management, billing and invoicing, staff management, and reporting.
  • Pet owner portal: A client-facing interface where pet owners can view their pet's records, book appointments, complete intake forms, view invoices, and communicate with their clinic.
  • Athena AI assistant: An AI-powered onboarding and training assistant available to help clinic staff learn and use the platform (available on select plans).

Each veterinary clinic operates as a separate tenant within the platform. Clinic data is logically isolated and not accessible to other tenants.

3. User Accounts

Clinic Accounts

When a veterinary clinic registers, a clinic administrator account is created. The administrator is responsible for managing the clinic's subscription, inviting staff members, configuring settings, and ensuring appropriate use of the Service within their organization.

Pet Owner Accounts

Pet owners may be invited by a veterinary clinic to create an account to access the pet owner portal. Pet owner accounts are associated with a specific clinic and provide access only to records and services shared by that clinic.

Account Security

You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. You must notify us immediately at support@dreamforgeworld.com if you suspect unauthorized access to your account. We are not liable for any loss or damage arising from unauthorized use of your account.

4. Subscription and Billing

Plans

The Service is offered through tiered subscription plans (Starter, Professional, and Enterprise), each with different features and pricing. Current plan details and pricing are available on our Pricing page.

Payment Processing

All payments are processed through Stripe. By subscribing to a paid plan, you authorize Stripe to charge your payment method on a recurring basis according to your billing cycle (monthly or annual). You agree to Stripe's Terms of Service as they apply to payment processing.

Auto-Renewal

Subscriptions automatically renew at the end of each billing period unless cancelled before the renewal date. You may cancel your subscription at any time through your account settings. Cancellation takes effect at the end of the current billing period, and you will retain access to the Service until then.

Price Changes

We will provide at least 30 days written notice before any price increase takes effect. Notice will be sent to the email address associated with the clinic administrator account. If you do not agree with a price change, you may cancel your subscription before the new pricing takes effect.

Failed Payments

If a payment fails, we will notify you and attempt to process the payment again. You will have a 14-day grace period to update your payment method. If payment is not resolved within the grace period, your account may be suspended until the outstanding balance is paid.

Refunds

We do not offer refunds for partial billing periods. If you believe you have been charged in error, contact us within 30 days at support@dreamforgeworld.com and we will review your case.

5. Free Trial and Pilot Program

Free Trial

We may offer a free trial period for new clinic accounts. Free trial terms, including duration and included features, will be specified at the time of sign-up. At the end of the trial period, you must select a paid plan to continue using the Service. If you do not subscribe, your account access will be limited.

Pilot Program

Clinics participating in our pilot program receive full access to the platform at no cost for the duration of the pilot period. When the pilot program concludes, participating clinics will have a 30-day grace period to transition to a paid subscription plan. During this grace period, full access to the Service continues. After the grace period, if no subscription is selected, account access will be limited, but data will be preserved and available for export.

6. Data Ownership

Data ownership on the platform is structured as follows:

  • Clinic data: All data entered by a veterinary clinic (including patient records, appointment data, treatment notes, billing records, and staff information) is owned by the clinic. We process this data on behalf of the clinic to provide the Service.
  • Veterinary records: In accordance with Florida Statute 474.2165, veterinary medical records are owned by the veterinary practice. Client consent is required for sharing records with third parties outside of the platform.
  • Pet owner data: Personal information provided by pet owners through the portal is associated with the clinic they are connected to. The clinic is the data controller for this information within the context of the veterinary relationship.
  • Data export: Clinics may export their data at any time in standard formats (CSV, PDF). Upon termination of service, clinics have 30 days to export their data before it is scheduled for deletion.

7. Acceptable Use

You agree not to:

  • Use the Service for any purpose other than legitimate veterinary clinic management and related activities
  • Access or attempt to access another clinic's data or any account that does not belong to you
  • Reverse engineer, decompile, disassemble, or otherwise attempt to derive the source code of the Service
  • Use automated tools, bots, scrapers, or similar technologies to extract data from the Service without our written permission
  • Upload or transmit any malicious code, viruses, or harmful content
  • Interfere with or disrupt the integrity or performance of the Service
  • Use the Service to store or transmit information that violates any applicable law or regulation
  • Share your account credentials with unauthorized individuals
  • Resell, sublicense, or redistribute access to the Service without our written consent

We reserve the right to suspend or terminate accounts that violate these acceptable use terms.

8. AI Assistant (Athena)

The Service includes an AI-powered assistant named Athena, available on select subscription plans. By using Athena, you acknowledge and agree to the following:

  • Athena is an artificial intelligence system, not a human. It uses natural language processing to respond to your questions about using the DreamForge Vets platform.
  • Athena is designed for onboarding and training purposes only. It helps clinic staff learn workflows, find features, and understand how to use the platform effectively.
  • Athena does not provide veterinary medical advice. It is not a veterinary professional and is not designed to diagnose, treat, or make clinical recommendations for animals. Do not rely on Athena for any medical decisions.
  • No liability for AI responses. We are not liable for any actions taken based on information provided by Athena. Athena's responses may occasionally be inaccurate or incomplete. Always verify important information independently.
  • Your interactions with Athena are processed by third-party AI providers as described in our Privacy Policy.

9. Intellectual Property

The Service, including its design, code, features, branding, documentation, and all related intellectual property, is owned by Blueridge Webservices LLC and protected by applicable copyright, trademark, and other intellectual property laws.

Your subscription grants you a limited, non-exclusive, non-transferable license to access and use the Service for your internal veterinary clinic operations during your subscription period.

As described in Section 6, clinics retain full ownership of their data. We claim no ownership of the content you create or upload to the Service.

10. Limitation of Liability

To the maximum extent permitted by applicable law:

  • Our total aggregate liability to you for any claims arising from or related to the Service shall not exceed the total fees paid by you to us during the twelve (12) months immediately preceding the event giving rise to the claim.
  • In no event shall we be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, loss of data, loss of business opportunities, or business interruption, regardless of the theory of liability and even if we have been advised of the possibility of such damages.
  • We are not liable for any harm arising from the use of or reliance on information provided by the Athena AI assistant, including but not limited to clinical decisions made based on Athena's responses.
  • We are not liable for any damages resulting from actions of third-party service providers, including but not limited to payment processing errors by Stripe or hosting outages by Vercel.

11. Warranties and Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

Without limiting the foregoing, we do not warrant that:

  • The Service will be uninterrupted, timely, secure, or error-free
  • The results obtained from using the Service will be accurate or reliable
  • Any errors in the Service will be corrected within a specific timeframe
  • The Service will meet your specific requirements or expectations

We make commercially reasonable efforts to maintain the availability and reliability of the Service, but we do not guarantee any specific uptime percentage.

12. Termination

Termination by You

You may cancel your subscription and close your account at any time through your account settings or by contacting us. Upon cancellation, you will retain access until the end of your current billing period.

Termination by Us

We may suspend or terminate your access to the Service if:

  • You violate these Terms or our Acceptable Use policy
  • Your payment is overdue and not resolved within the grace period described in Section 4
  • We are required to do so by law or regulation
  • Your use of the Service poses a risk to the security or integrity of the platform or other users

Where possible, we will provide notice before suspension or termination and an opportunity to cure the issue.

Effect of Termination

Upon termination, you will have 30 days to export your data using the platform's built-in export tools. After the 30-day export period, your data will be scheduled for deletion, subject to any legal retention requirements (such as the minimum three-year retention of veterinary records under Florida law). We will assist with data export upon reasonable request.

13. Indemnification

You agree to indemnify, defend, and hold harmless Blueridge Webservices LLC, its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, costs, or expenses (including reasonable attorneys' fees) arising out of or related to:

  • Your use of the Service
  • Your violation of these Terms
  • Your violation of any applicable law or regulation
  • Any content or data you submit, post, or transmit through the Service
  • Any claim by a third party related to the veterinary services you provide using the platform

14. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of Florida, without regard to its conflict of law principles.

Any disputes arising out of or relating to these Terms or the Service shall be resolved exclusively in the state or federal courts located in Lee County, Florida. You consent to the personal jurisdiction of such courts.

15. Changes to Terms

We reserve the right to modify these Terms at any time. For material changes, we will provide at least 30 days advance notice by sending an email to the clinic administrator's email address and by posting the updated Terms on this page.

Non-material changes (such as clarifications or formatting updates) may be made without advance notice. All changes will be reflected in the "Last updated" date at the top of this page.

Your continued use of the Service after the effective date of any changes constitutes your acceptance of the revised Terms. If you do not agree with the updated Terms, you must stop using the Service and cancel your subscription before the changes take effect.
