1. Introduction
DreamForge Vets, operated by Blueridge Webservices LLC ("Company," "we," "us," or "our"), is a cloud-based veterinary clinic management platform located in Fort Myers, Florida. We provide tools for veterinary clinics to manage appointments, patient records, billing, and client communication, along with a pet owner portal for clients to access their pet's records, book appointments, and complete forms.
This Privacy Policy explains how we collect, use, disclose, and protect information when you use our website at vets.dreamforgeworld.com and our platform services (collectively, the "Service"). By using the Service, you agree to the collection and use of information as described in this policy.
2. Information We Collect
Personal Information
When you create an account, we collect information such as your name, email address, phone number, and professional role. For clinic administrators, we also collect business name, address, and licensing information.
Pet Health Data
Veterinary clinics enter and manage pet health records through the platform, including medical histories, treatment plans, vaccination records, lab results, and related clinical data. This data is owned by the veterinary clinic in accordance with Florida Statute 474.2165 and applicable veterinary practice regulations.
Payment Information
We use Stripe as our payment processor for subscription billing and clinic-to-client transactions. Payment card details are collected and processed directly by Stripe. We do not store your full credit card number, expiration date, or CVV on our servers. We receive limited information from Stripe such as the last four digits of your card, card brand, and billing address for record-keeping purposes.
Usage Data
We automatically collect certain information when you use the Service, including your IP address, browser type, operating system, referring URLs, pages viewed, and the dates and times of your visits. This data helps us improve the Service and troubleshoot technical issues.
AI Assistant Interactions
When you interact with Athena, our AI assistant, we collect the text of your queries and the responses provided. These interactions are used to improve the assistant's accuracy and helpfulness. See Section 8 for more details about the AI assistant.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service, including clinic management tools and the pet owner portal
- Process subscription payments and clinic billing transactions
- Send transactional emails such as appointment reminders, account notifications, and billing receipts
- Provide customer support and respond to your requests
- Improve the Service, including training and improving the Athena AI assistant
- Detect, prevent, and address technical issues and security threats
- Comply with legal obligations, including Florida veterinary record retention requirements
- Enforce our Terms of Service and protect the rights, property, or safety of our users and the public
4. How We Share Your Information
We do not sell your personal information. We share information only in the following circumstances:
Third-Party Service Providers
We use the following third-party services to operate the platform. Each provider receives only the data necessary to perform its function:
- Stripe - Payment processing for subscriptions and clinic billing. Stripe collects and processes payment card information directly. See Stripe's Privacy Policy.
- Vercel - Application hosting and infrastructure. Vercel processes requests and may collect IP addresses and request metadata.
- Neon (PostgreSQL) - Database hosting. All platform data is stored in Neon-hosted PostgreSQL databases with encryption at rest and in transit.
- Resend - Transactional email delivery for appointment reminders, account notifications, and other system emails.
- OpenAI / OpenRouter - AI processing for the Athena assistant. Your queries to Athena are sent to these providers for processing. No pet health records or personally identifiable client data is sent to AI providers unless you include it in your query.
Clinic-to-Client Sharing
When a veterinary clinic uses the platform to serve pet owners, the clinic controls what information is shared with its clients through the pet owner portal. This may include appointment details, pet health records, invoices, and communications.
Legal Requirements
We may disclose your information if required to do so by law, in response to valid legal process, or to protect the rights, property, or safety of DreamForge Vets, our users, or the public.
5. Data Storage and Security
Your data is stored in Neon-hosted PostgreSQL databases located in the United States. Our application is hosted on Vercel's infrastructure.
We implement reasonable security measures to protect your information, including:
- Encryption in transit using TLS/SSL for all connections
- Encryption at rest for database storage
- Multi-tenant data isolation to ensure each clinic's data is separated and inaccessible to other tenants
- Role-based access controls within each clinic account
- Regular automated backups with retention policies
- Secure password hashing and session management
While we take reasonable steps to protect your information, no method of transmission over the internet or method of electronic storage is 100% secure. In the event of a data breach affecting your personal information, we will notify affected individuals and relevant authorities within 30 days as required by the Florida Information Protection Act (FIPA) and other applicable state laws.
6. Data Retention
We retain your information for as long as necessary to provide the Service and comply with legal obligations:
- Veterinary records: Retained for a minimum of three (3) years from the date of the last treatment, in accordance with Florida Statute 474.2165 and applicable veterinary practice regulations. The veterinary clinic, as the record owner, may choose to retain records for longer periods.
- Account data: Retained while your account is active. Upon account deletion, we retain account data for 90 days to allow for recovery if the deletion was unintentional, after which it is permanently deleted.
- Payment records: Retained as required for financial reporting and tax compliance, typically for seven (7) years.
- Usage logs: Retained for up to 12 months for troubleshooting and security purposes.
7. Your Rights
Depending on your location, you may have certain rights regarding your personal information. We honor the following rights for all users regardless of state of residence:
- Right to access: You may request a copy of the personal information we hold about you.
- Right to correction: You may request that we correct inaccurate or incomplete personal information.
- Right to deletion: You may request that we delete your personal information, subject to certain exceptions (such as legal retention requirements for veterinary records).
- Right to portability: You may request a copy of your data in a structured, commonly used, machine-readable format.
- Right to opt out of sale: We do not sell personal information, so there is nothing to opt out of. However, we honor this right as required by the California Consumer Privacy Act (CCPA/CPRA) and similar state laws.
- Right to non-discrimination: We will not discriminate against you for exercising any of these rights.
For pet owner portal users: Pet health records are owned by the veterinary clinic, not DreamForge Vets. Requests for access to or deletion of pet health records should be directed to your veterinary clinic first. We will assist clinics in fulfilling such requests.

8. AI Assistant Disclosure
DreamForge Vets includes an AI-powered assistant named Athena. We want to be transparent about how Athena works:
- Athena is an artificial intelligence system. It is not a human, veterinary professional, or licensed practitioner of any kind.
- Athena is designed for onboarding and training support only. It helps clinic staff learn how to use the DreamForge Vets platform by providing step-by-step guidance and answering how-to questions.
- Athena does not provide medical or veterinary advice. It is not trained to diagnose, treat, or make clinical recommendations for animals. Any responses that appear to touch on medical topics should not be relied upon as professional veterinary guidance.
- Your interactions with Athena are processed by third-party AI providers (OpenAI and/or OpenRouter). The content of your queries and Athena's responses may be transmitted to these providers for processing.
- We may use aggregated, de-identified interaction data to improve Athena's accuracy and usefulness over time.
This disclosure is provided in compliance with AI chatbot disclosure requirements in California, Colorado, Utah, Maine, and other jurisdictions that may enact similar requirements.
9. Cookies and Tracking
We use cookies and similar technologies as follows:
- Session cookies: Essential cookies required for authentication and maintaining your logged-in session. These are strictly necessary for the Service to function.
- Preference cookies: We store your theme preference (light or dark mode) and similar UI settings locally.
We do not use third-party tracking cookies, advertising cookies, or cross-site tracking technologies. We do not participate in advertising networks or share browsing data with advertisers.
10. Children's Privacy
The Service is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us at support@dreamforgeworld.com and we will promptly delete such information.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email (if you have an account) and by posting the updated policy on this page with a revised "Last updated" date. We encourage you to review this policy periodically.
Your continued use of the Service after changes are posted constitutes your acceptance of the revised Privacy Policy.
